Demoz Payroll ("we", "us", "our") operates the payroll management platform at https://paydemoz.com (the "Service"). This Privacy Policy explains what information we collect, how we use it, and the rights you have over it.
1. Who this policy applies to
- Employers — businesses and HR administrators who sign up for the Service to run payroll for their staff.
- Employees — individuals whose payroll is processed through the Service by their employer.
- Visitors — anyone who browses paydemoz.com without signing up.
2. Information we collect
From employers (account holders):
- Name, email address, password (stored hashed via bcrypt)
- Company name, business contact details
- Authentication logs (login times, IP address)
From employees (entered by their employer):
- Full name, contact details, national ID, TIN
- Hire date, position, department, base salary
- Bank account details (for salary payment)
- Emergency contact information
- Payroll calculations, leave balances, termination records
Automatically:
- Standard web server logs (IP address, browser, request paths)
- Activity audit logs of actions taken inside the Service
We do not purchase mailing lists, run ad networks, or operate marketing tracking pixels.
3. How we use information
- To deliver the payroll Service the employer signed up for
- To calculate Ethiopian PAYE tax, pension, and other statutory deductions
- To generate payslips, reports, and tax remittance schedules
- To send transactional emails (account verification, invitations, profile completion requests, password resets)
- To detect and prevent fraud, abuse, and security incidents
- To comply with Ethiopian tax and labor law
4. Email communications
We only send transactional emails — triggered by a specific user action (e.g., signing up, being invited by an employer, requesting a password reset). We do not send marketing newsletters or promotional broadcasts. Because every email is necessary to operate the Service for the recipient, no opt-in is required and no opt-out list is maintained.

5. Sharing of information
We share data only with:
- Supabase (our database and auth provider) — stores payroll data with row-level security so each employer can only access their own company's data.
- SendGrid (email delivery) — receives the recipient address and message content of transactional emails for the sole purpose of delivering them.
- Government tax authorities — only when an employer exports their own payroll data for statutory remittance. We do not transmit data directly to the Ethiopian Revenue Authority on their behalf.
We do not sell personal information to third parties.
6. Data retention
- Active accounts: data retained while the account is active.
- Closed accounts: payroll records retained for 7 years to comply with Ethiopian record-keeping requirements, then deleted.
- Transactional email logs: retained for 90 days for delivery troubleshooting.
7. Security
- All connections use HTTPS / TLS.
- Database access is gated by Row Level Security (RLS) so an employer can only access their own company's records.
- Passwords are hashed; service-role credentials are never exposed to the browser.
- Activity logs are immutable and auditable.
8. Your rights
You may request to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Delete your data (subject to the 7-year retention rule above for payroll records).
- Export your data in a machine-readable format.

9. Children
The Service is not directed to children under 18 and we do not knowingly collect data from minors.
10. Changes to this policy
We will post any changes to this page and update the "Last updated" date above. Material changes will be notified to account holders by email.
